Bilingual Customer Service Coordinator

LifeLine Foods Customer Service Representative is responsible for supporting sales initiatives by effectively handling all customer order management activities to enhance the return on total business through delivering the best customer service care in the industry.  This position develops first-hand knowledge of customer ordering patterns and establishes working relationships with the customers.  The Representative must develop a thorough understanding of LifeLine’s pricing policies and procedures and additionally be able to quote accurate margin and corn price detail.    

Supervision:  Directs the activities of, and is accountable for, the results produced by employees in the following positions.

Order Entry: 

  • Coordinate and manage sales orders (includes assigning load numbers and entering orders/contracts in LifeLine’s order entry system) and distribute order information to the pertinent parties. This requires a strong communication link to Production Planning, Logistics, Quality Assurance and Accounting teams.

Customer Relations:

  • Assure all customers are treated with respect and in an ethical, accurate and efficient manner.  

  • Serve as the central contact person for current customers to place standard orders.

  • Develop relationships with the customer’s Planning, Production, QA and Receiving personnel to effectively link their processes with LifeLine’s internal process to deliver efficient customer service and potentially facilitate additional sales opportunities.  

Logistics Support:

Support Truck Logistics on a “as needed” basis with documentation and scheduling of shipments.  

Reporting: 

  • Create and maintain various reports which include, but are not limited to, margin tracking, volume and bid history, corn reconciliation, monthly sales analysis and trends, SQF required customer complaint document and Sample Shipment Log.

  • Customer Account Reporting: Provide current ordering information to the internal salesperson assigned to each account and maintain contact with sales staff regarding customer’s order and contract status.  Maintain current customer files and provide accessibility to Sales, Operations and Accounting.  

Additional Items:

  • Keep abreast of industry developments and apply best practices to areas within the Customer Service role for improvement.

  • Maintain an orderly workflow according to priorities.

  • Provide backup coverage as needed (e.g., PTO, etc.) for various members of the Sales/Marketing and Logistics team.

Minimum Requirements: The following is the requisite education and/or work experience for this position.

  • Associates Degree or equivalent from two-year college or technical school preferred, or three years of related experience and/or training; or equivalent combination of education and experience.  

  • Ability to ready and interpret documents in the English & Spanish language such as sales contracts, orders and procedure manuals.

  • Must be proficient in Microsoft Office and all standard programs used by the industry and the ability to learn and effectively use any and all other computer programs that are or will be made available.

  • Must have excellent written and verbal communication skills, including the ability to write informative reports, business correspondence and formal presentations, that can be effectively understood by all levels of personnel.

  • Ability to effectively and clearly communicate with others both internally and outside of the Company.

  • Ability to communicate fluently and write effectively in both English and Spanish.
